Participation & Safety


We're thrilled to have you join our classes, workshops, and events, whether in person or online! Please take a moment to read this important information to ensure a safe and enjoyable experience for everyone.

Your wellbeing is our priority. By choosing to participate, you understand that your involvement is voluntary and entirely at your own risk. We strongly recommend consulting with a qualified medical professional before participating, especially if you are pregnant, nursing, have any existing medical conditions, or have any other health concerns or physical considerations that might affect your ability to exercise safely.

When you complete your participation form, please provide honest and accurate information to the best of your knowledge. It is also important that you inform your instructor about any injuries or changes to your health prior to each session. If you experience any sudden pain or discomfort, or feel dizzy, lightheaded, or faint during your session, please stop immediately, notify your instructor, and consult your GP if the symptoms persist.

We encourage you to always work within your own limitations. Please arrive in good time for your class and remember to keep yourself hydrated before, during, and after your session. For your safety and enjoyment, please do not participate if you are under the influence of alcohol or drugs. Additionally, we recommend avoiding heavy meals for at least two hours before your session begins.

Additional pole safety - It is absolutely essential to arrive with clean, product-free skin. That means no moisturisers, oils, lotions, creams, or tanning products on the day of your class. For the best grip, we also recommend avoiding any non-essential moisturisers and lotions for 24 hours before your class. Please also remove ALL rings, jewellery, body piercings that aren't covered by clothing, and any accessories, including smartwatches and fitness trackers. We want you to be able to move freely and safely!! Please arrive in good time to warm up properly as instructed. Participation in a class is at your instructor's discretion if you miss any part of the warm-up.

When attending a supervised pole practice session, always start with a thorough warm-up to minimise injuries and fully prepare your body for a pole workout. Target the muscles you will use throughout your session to help activate and get them ready for the spins and tricks you'll be performing. Be sure to include a cool-down stretch before you leave. Please use safety mats and work at your own level. Practice moves that you have already learned in class and can safely perform without an instructor or spotter. You are responsible for your own safety at all times. For insurance and safety reasons, spotting other students is not permitted.

Your Agreement to Participate

By participating in any in-person or online class, workshop, or event with Soozi Kay Pole | Groove | Yoga, you agree to these terms and conditions and assume full responsibility for your own health and safety. You acknowledge that all physical activities carry a risk of injury and confirm that you are physically fit and do not have any medical condition that would prevent your full participation.

You understand it's your responsibility to consult with a physician prior to and regarding your participation. Should you choose to participate with or without your doctor's permission, you assume all responsibility for the consequences of your participation. This means you agree not to hold Soozi Kay Pole | Groove | Yoga responsible for any accident, injury, medical condition, damage, or loss to your person or property, or for any costs arising from your participation. You also agree to inform your instructor of any changes in your health, including injuries, before participating.

Ongoing Health Disclosure

Your safety is our priority. It is your responsibility to notify Soozi Kay immediately of any changes to your health, new medical conditions, or pregnancy status. If you are hiring the studio for a group, you must ensure your own students have completed a similar health screening and are required to disclose changes to you.

Our Limit of Liability

Please be aware that while we strive to provide a safe and supportive environment, participation in any class, event, or workshop (whether in-person or online, now or in the future) with Soozi Kay Pole | Groove | Yoga is undertaken at your own risk.

We want to make it clear that, to the maximum extent permitted by law, Soozi Kay Pole | Groove | Yoga does not accept responsibility for any accident, injury, medical condition, damage, or loss to any person or property, or for any costs arising from your participation, unless it is caused by our proven negligence.

This means we will not be held liable for:

  • Injuries or conditions resulting from your own actions, pre-existing health conditions, or failure to follow instructions.

  • Loss or damage to personal property.

  • Costs associated with medical attention or other expenses incurred as a result of your participation, where we have not been negligent.

Your safety is important to us, and we are committed to providing our services with reasonable care and skill. However, physical activities inherently carry a risk of injury, and by participating, you acknowledge and accept these inherent risks.

This disclaimer is subject to and governed by English Law and the exclusive jurisdiction of the Courts of England and Wales.


Class Booking & Cancellation Policy


Pole Fitness

Pole class runs in 4-week blocks. Once block booking is complete, a drop-in option will be made available for individual classes, subject to availability. Where space is available, you can book up to 30 minutes before class time with a drop-in pass. Pole class Block Bookings are non-refundable and non-transferable. Missed classes are forfeited and cannot be carried over. If a class is cancelled, I will give as much notice as possible and make an announcement in the Student Facebook Group. Where it is possible to do so, an extra date will be added to the end of the block. If you know you cannot attend the rearranged date, please get in touch to request a refund for that class.

Private Pole Lessons

You can book a private pole lesson with a single or multi-credit ClassCard. Choose a ready-to-book session from the calendar, or get in touch. Other times may be available on request. Booking is via the Calendar and closes 24 hours before the start time. Please give at least 24 hours notice if you wish to cancel or rearrange a private pole lesson. Missed classes are forfeited and cannot be carried over. I will notify you by your preferred contact method if I need to cancel or reschedule your lesson for any reason.

Pole Practice Sessions

Where spaces are available, supervised pole practice sessions can be booked on a PAYG drop-in basis via the Calendar. You can book up to 1 hour before the start time, and cancellations are accepted up to 4 hours before the start time. Missed classes are forfeited and cannot be carried over. If a class is cancelled, I will give as much notice as possible, return your credit, and make an announcement in the Student Facebook Group. You can use your credit toward another practice session or request a refund. 

Pole Photoshoots and Practice Workshops

You can purchase a “poleshoot” or practice workshop pass via our online shop. Full details, dates and times of special events will be published independently, and scheduling may be managed offline.

Our poleshoots and workshops are incredibly popular, so spaces are limited and offered on a first-come, first-served basis. If you're interested in combining consecutive 30-minute photoshoots into a longer session for multiple participants, please ask – we're happy to arrange, subject to suitable slots being available. We will contact you to finalise and allocate time slots as we get closer to the time.

By registering, you agree to attend your session at the designated time and arrive at least 15 minutes prior to your start time to warm up.

We understand that life can be unpredictable and plans can change, and we want to make it as easy as possible for you to manage your booking. However, to ensure fairness to all our wonderful students and the photographer, we do have a cancellation policy in place for poleshoots. Thank you so much for your understanding!

  • Full refund: You can cancel your poleshoot up to 4 weeks in advance for a full refund.

  • No refund: If you cancel within 28 days of the poleshoot, you will not be eligible for a refund unless we/you are able to resell your space.

  • Partial refund: Refunds for late-notice cancellations in exceptional circumstances will be at the discretion of the photographer.

PoleFlow Workshops

You can purchase a PoleFlow workshop pass via our online shop. Workshops will be available to book via the calendar on selected dates throughout the year. Please check the calendar for full details, including any recommendations or special requirements. 

To maximise your pole time, spaces are limited and offered on a first-come, first-served basis. Booking closes when the workshop is full or 24 hours before the start time, whichever is sooner. If places are still available, booking may be extended. Please give at least 24 hours' notice if you can't attend, so that we can offer your space to someone else. Late cancellations are forfeited and cannot be carried over. I will notify you by your preferred contact method if we need to cancel or reschedule a workshop for any reason.

Pole Class Subscription

Purchase a convenient monthly recurring subscription through our shop and enjoy seamless access to your regular weekly class. No need to keep track of blocks or book in advance. Just show up. Your purchase date will become your monthly payment date. Please note that your subscription is a convenient way to pay for your scheduled weekly class. It is non-refundable and non-transferable. Where spaces are available, you may switch to a class at the same level or below using a discounted drop-in pass - please ask.

Pausing a Subscription

Holidays have been factored into the subscription cost over 12 months. If you cannot attend your class for an extended period of four weeks or more, you can request to pause your subscription indefinitely. When you're ready to return, simply let us know, and we'll reactivate your subscription at no additional cost or setup.

GROOVE Indoors

You can book any GROOVE session with a single or multi-credit ClassCard. Please book in advance to ensure your session runs as scheduled. You can redeem your ClassCard credits for up to 3 months from the date of purchase. Classes do not have to run consecutively. Classes require a minimum attendance to run. Registration closes when the session is fully booked. You can book up to the start time, as long as space is available. For advance bookings, should the unexpected happen, you can cancel up to 2 hours before your class time to retain a credit (subject to your ClassCard expiry date). Cancellations made within 2 hours will result in a credit being subtracted as if you had attended. Missed classes are forfeited and cannot be carried over. If a class is cancelled, I will notify you by email, giving as much notice as possible, and return one credit to your account. Credits can be used for the Kendal, Milnthorpe, and Crooklands classes, allowing you to mix and match, subject to space availability.

GROOVE Outdoors

Groove special events, including outdoor silent disco dance parties, will be scheduled and announced via our social media channels. Each event is individually priced with discounts available for existing groovers. You can book up to 30 minutes before the start time, as long as space is available. Please book early to avoid disappointment. Headset numbers are limited, and booking is on a first-come, first-served basis. For advance bookings, should the unexpected happen, you can cancel up to 4 hours before the event time to retain a credit (subject to your ClassCard expiry date). Cancellations made within 4 hours will result in a credit being subtracted as if you had attended. Missed events are forfeited and cannot be carried over. For your comfort and safety, please be aware that we will be dancing on uneven surfaces with potential trip hazards and slippery conditions. Always be mindful of what's beneath your feet. On the day, please check the weather forecast and layer your clothing accordingly to be prepared for anything Mother Nature has in store. In the event of heavy rain, we will attempt to relocate to an indoor venue. In the case of a full cancellation, I will make an announcement on our social media channels, giving as much notice as possible. Your credit will be returned or refunded on request.

Release & Restore

You can purchase a pass via our online shop. Release & Restore sessions will be available to book via the calendar on selected dates throughout the year. Please check the calendar for full details, including any recommendations or special requirements. 

Spaces are limited and offered on a first-come, first-served basis. Please book early to avoid disappointment, and give at least 24 hours' notice if you can't attend, so that we can offer your space to someone else. We will notify you by your preferred contact method if we need to cancel or reschedule a session for any reason.

Online Yoga

You can book any online yoga class with a single or multi-credit ClassCard. Please book in advance. Classes require a minimum attendance* to run. Registration closes when the session is full or 4 hours before the start time, whichever is sooner. You can cancel up to 12 hours before your class time to retain a credit (subject to your ClassCard expiry date). Cancellations within 12 hours will subtract a credit as if you had attended. Missed classes are forfeited and cannot be carried over. If a class is cancelled, I will notify you by email, giving as much notice as possible, and return one credit to your account.

In-person Yoga

You can book any in-person yoga class with a single or multi-credit ClassCard. Please book in advance. Classes require a minimum attendance* to run. Registration closes when the session is full or 24 hours before the start time, whichever is sooner. You can cancel up to 24 hours before your class time to retain a credit (subject to your ClassCard expiry date). Cancellations within 24 hours will subtract a credit as if you had attended. Missed classes are forfeited and cannot be carried over. If a class is cancelled, I will notify you by email, giving as much notice as possible, and return one credit to your account.

One2One Yoga

You can book one2one yoga with a single or multi-credit ClassCard. Please get in touch to arrange your day and time. Your One2One Yoga session will be added to the calendar, ready to book. You can register for your session up to 24 hours before the start time. Please book in advance for regular or weekly sessions to hold your spot. You can cancel and rearrange up to 24 hours before the start time. Missed classes are forfeited and cannot be carried over. I will notify you by your preferred contact method if I need to cancel or reschedule your session for any reason.

On-demand Yoga

You can find our on-demand product in the shop. Register for instant access to our online yoga video library. Where a single payment or free option applies, you will have access to our online yoga video library for as long as the website remains available. You will be able to access all videos immediately after registration. For monthly payment options, membership will commence immediately upon registration. You can cancel at any time via your dashboard to have your membership terminated before the next payment is due. No refunds will be given. Your teacher reserves the right to switch content to that of an equivalent (or higher) value.

* Running a group class with fewer than 4 people is at your teacher's discretion. You will be notified on the morning of your class if your class is cancelled.


Studio Hire Terms & Booking


We are pleased to offer our studio for private hire, whether for individual practice or group sessions, including workshops, classes and activities. By booking the studio, you agree to the following:

Important: Parking & Your Vehicle

To avoid a £100 fine from an external parking company, please follow these steps carefully:

  • The Parking Console: As soon as you arrive, you MUST enter your registration number into the console inside the studio. This provides 2 hours of free parking.

  • Staying Longer? If your hire or practice session will exceed 2 hours, please email your registration number in advance so your stay can be extended.

  • Forgot? If you forget to log your car, call or text Soozi (07396 915079) IMMEDIATELY - within 12 hours of your arrival - and ensure you get a reply!

  • Liability: Please note that the studio is not responsible for any fines issued under any circumstances.

Fire Safety & Emergencies

All hirers (especially those bringing groups) must familiarise themselves with the emergency exit route, the location of fire extinguishers, and the first aid kit immediately upon arrival. In the case of a fire, please call 999. The studio address is 31a Castle Mills, Kendal, Cumbria LA9 4DE.

Individual Unsupervised Practice

  • Total Responsibility: If hiring the studio for solo practice, you are entirely responsible for your own safety, the care of the building, and the equipment.

  • Liability Waiver: You acknowledge that you are practicing unsupervised and at your own risk. Soozi Kay Pole | Groove | Yoga is not liable for any accident, injury, medical condition, damage or loss to your person or property, or for any costs arising from your hire.

  • Skill Level: You confirm you have the necessary experience to use the equipment safely without an instructor present.

  • Health Declaration: All solo hirers must have a completed PARQ on file with us. Please request a form when booking. By booking, you confirm you are fit to exercise and have disclosed any medical conditions that could affect your safety while training alone.

  • Solo Safety & First Aid: As you are training unsupervised, you are responsible for your own first aid. We strongly recommend having a charged mobile phone with you and notifying a contact of your start and expected finish times.

Group Hire (regular and one-off bookings)

If you are hiring the studio to teach your own students:

  • Instructor Responsibility: You are solely responsible for the safety, conduct, and wellbeing of your students.

  • Insurance & Paperwork: You must provide a valid copy of your Public Liability Insurance (minimum £5m cover recommended) and relevant teaching certifications before your first session.

  • Personal Accident Cover: While not mandatory, we strongly recommend that freelance instructors hold their own Personal Accident Insurance to protect their income in the event of an injury.

  • Waivers: You must ensure your students have completed your own health screening and liability waivers.

Social Media & Privacy

If you are hiring the studio for your own business or professional content, please ensure your posts do not imply an official endorsement or partnership with Soozi Kay Pole | Groove | Yoga without prior written agreement.

Security & Studio Care

We take great pride in our space and ask that you treat it with love! The hirer is responsible for the cost of any repairs or replacements needed if the building, fixtures, or equipment are damaged during the booking period. To keep our space safe and sustainable, please also ensure the following before leaving:

  • Secure the Building: All windows must be closed, and the door must be double-checked and locked securely.

  • Power Down: Ensure all electrical appliances, lights, heating units, and fans are switched off. DO NOT turn off the parking console.

  • Equipment & Layout: All equipment (poles, mats, etc.) must be wiped down with cleaner and returned to their original position.

  • Cleanliness: Ensure all rubbish is removed and the studio is left tidy.

Booking & Sub-Letting

  • Personal Agreement: Studio hire is for the named booker only. To maintain our safety and insurance standards, bookings may not be sublet, shared, or transferred to a third party without prior written consent from Soozi Kay.

  • Arrangements: Studio hire is by appointment only. Please get in touch to arrange specific dates, times, and key collection/return.

  • Viewings: We want you to feel comfortable in the space! You are welcome to arrange a virtual or in-person visit to see the studio and facilities before booking.

Events & One-off Bookings

We love hosting events and one-off workshops. To keep things running smoothly for everyone, these studio hire bookings follow a slightly different process from a regular weekly class:

  • Securing your date(s): We require a 50% non-refundable deposit at the time of booking to reserve the studio.

  • Final balance: The remaining balance is due in full one month before your event date.

  • Last-minute booking: If you book your event within 1 month of the date, we require full payment up-front to confirm the space.

  • Security deposit: We also require a refundable security deposit of £75.00 to cover any damage to the building or equipment, or any additional professional cleaning required. This will be added to your final balance payment. We will aim to issue a refund via bank transfer within 5 working days of your event, provided the studio is returned in its original condition.

  • Cancellations: We know the unexpected can happen. However, because it’s hard to fill a large block of time at short notice, the initial deposit is non-refundable. If you need to cancel within 14 days of your event, the full hire fee will unfortunately still apply.

  • Event insurance: We always recommend taking out event insurance in case life throws you a curveball.


Media, Privacy & Social Media


We love celebrating your journey and cheering you on. To help us do that, we take photos and videos during class to share in our Private Facebook and WhatsApp Groups.

  • Your Choice: If you’d prefer not to be filmed or photographed, no worries at all! Just have a quick chat with your instructor, and they’ll make sure you’re not included.

  • Sharing Your Moments: You are welcome to take and post your own class photos and videos on social media. We just ask that you keep the sound off to respect licensing and class flow.

  • Safety First: Please ensure that recording equipment does not interfere with the safety of any equipment (e.g. tripods near poles).

  • Respecting Others: Please be mindful of your classmates' privacy. It is essential to get their permission or blur them out before posting anything that features them.

  • Tag Us: Once you’ve checked with your peers, share away! Tag @soozikay and use #soozikaypole so we can high-five your achievements!
