To ensure we provide the best possible service, these terms and conditions are reviewed and updated regularly. When booking with us, you agree to the most recent version of these terms. Individual notifications are not sent for updates, so it is your responsibility to stay up to date with the information provided here.
Health, Safety & Participation
We want you to get the most out of every session while staying safe and feeling supported. By booking and participating in any of our classes, programmes or workshops (whether in person or online), you agree to the following points.
Understanding the Risks
Physical activity, by its nature, carries a risk of injury. This can include things like changes in blood pressure, fainting or the aggravation of a pre-existing condition. By joining a session, you acknowledge these risks and agree to follow all instructions provided so that you can participate safely.
Your Health and Readiness
It is your responsibility to consult with a doctor before starting any movement-based activities, especially if you are pregnant, nursing or have any underlying health concerns. By taking part, you confirm that you are at least 18 years old, in good physical health and do not have any medical conditions that would limit your safe participation.
Honesty is key: Please provide accurate information on your participation form.
Keep us posted: It is your responsibility to notify your instructor of any changes to your health, new injuries or pregnancy status before any session begins.
Listen to your body: If you feel dizzy, faint or experience sudden pain, please stop immediately and let your instructor know.
Preparation: Please arrive well-hydrated and avoid heavy meals for at least two hours before we start. For everyone's safety, please do not participate if you are under the influence of alcohol or drugs.
Additional Pole Safety
Pole fitness has specific safety requirements to reduce the risk of injury.
Product-free skin: Please arrive with clean skin. Do not apply moisturisers, oils, lotions or tanning products on the day of your class (and ideally for 24 hours before).
Jewellery: For your safety and to protect the equipment, please remove ALL rings, jewellery, fitness trackers and smartwatches.
The Warm-up: Arriving on time is ESSENTIAL. If you miss this portion of the class, your participation is solely at the instructor's discretion and may be refused.
Practice Sessions: Always warm up and cool down thoroughly. Use the safety mats, work at your own level and only practice moves you have already learned in class. For insurance and safety reasons, spotting other students is not permitted.
Remote and Online Sessions
If you are joining us virtually, you are solely responsible for ensuring your workout area is safe. Please check that your equipment is stable, your floor is clear, and you have enough space to move without restriction. We want you to have a great experience at home, so please take a moment to prep your space before we begin.
Liability and Responsibility
While we take every professional precaution to ensure your safety, you acknowledge that you participate at your own risk. You agree that Soozi Kay (along with any officers or contractors working with the studio) will not be held liable for any claims, losses or damages resulting from your participation, unless caused by our proven negligence. We cannot be held responsible for injuries resulting from your own actions, pre-existing conditions or a failure to follow safety instructions.
Jurisdiction
These terms and any sessions provided are governed by English law. By ticking the box or completing your booking, you confirm that you have read, understood and voluntarily agree to these terms.
Class Booking & Cancellation Policy
Our General Approach
We want to keep things fair and simple. To ensure a session has enough participants to run, we always encourage booking as early as possible. This helps us confirm the class for everyone!
If you are a last-minute planner, you are welcome to book right up until the session starts for most classes (subject to space). However, please note that our cancellation windows vary by class type. This allows us to manage our waitlists fairly and keep things running smoothly for all our participants.
Pole Fitness Block Booking: These run in 4-week blocks. Spaces are non-refundable and non-transferable. Missed classes are forfeited and cannot be carried over.
Pole PAYG Drop-in: Available subject to space once block bookings are complete. You are welcome to book right up to 30 minutes before class.
Pole Class Subscriptions: A monthly subscription guarantees your place in your usual class. These are non-refundable and non-transferable. If you are away for 4 weeks or more, let us know and we can pause your subscription indefinitely at no extra cost.
Private Pole & 1:1 Yoga: These are bespoke sessions booked via the calendar or on request. We require 24 hours’ notice to book, cancel or rearrange. Sessions missed without notice are forfeited.
Pole Practice: Help us confirm the session by booking early! You can book up to 1 hour before the start time. For advance bookings, please provide at least 4 hours' notice if you need to cancel so we can return your credit.
GROOVE Indoors: Single and multi-buy credits can be used across all our locations. Multi-buy credits are valid for 3 months. You can book a spot right up until the class starts! However, if you have booked in advance and your plans change, please ensure you cancel at least 2 hours before the start time to retain your credit.
GROOVE Outdoors: These special events have limited headsets, so early booking is essential. Feel free to join us at the last minute by booking up to 30 minutes before the start! If you've booked ahead but can no longer make it, just let us know at least 4 hours in advance to keep your credit.
Note: Please wear sensible shoes for uneven ground and check the weather so you can layer up!
Yoga (Online & In-person): These sessions require a minimum of 4 participants to run. Online Yoga remains open for booking until 4 hours before class; for advance bookings, please cancel at least 12 hours ahead to keep your credit. In-person Yoga closes 24 hours before class, with a 24-hour cancellation window.
Workshops (PoleFlow / Release & Restore): Spaces are first-come, first-served. Last-minute bookings are welcome up to 24 hours before. For advance bookings, please give 24 hours’ notice if you can’t make it, so we can offer your spot to someone else.
Special Occasions (Birthdays & Hen Parties): To secure your celebration date, we require a 50% non-refundable deposit at the time of booking. For last-minute bookings made within 14 days of the event, the full amount is taken up front to confirm the space. If you need to cancel, we offer a 50% refund provided you give us at least 48 hours’ notice. Within 48 hours of the event, the booking is non-refundable.
Photoshoots: Because these involve external photographers, we have a strict policy: Full refund with 4 weeks’ notice. No refund within 28 days unless we (or you) are able to resell the space.
If we have to cancel
While we always aim to run every scheduled session, sometimes the unexpected happens. If we have to cancel or reschedule a session:
Notification: We will give as much notice as possible via email and our social channels.
Credits & Refunds: Your class credit will be automatically returned to your account. For one-off events or blocks where a rearranged date doesn't work for you, a refund can be requested.
Rearranged Pole Dates: For cancelled block classes, we will try to add an extra date to the end of the block where possible. If you can't make the new date, just get in touch for a refund for that specific session.
Studio Hire Terms & Booking
We are pleased to offer our studio for private hire, whether for individual practice or group sessions, including workshops, classes and activities. By booking the studio, you agree to the following:
Important: Parking On-site
To avoid a £100 fine from the external parking company, please follow these steps carefully:
On Arrival: Please enter your registration number into the console inside the studio.
With a Group: Please help to ensure that all registration numbers are correctly entered.
Dropped off? Please enter your driver’s registration number to be on the safe side.

Important: Please note that the studio cannot take responsibility for any fines issued.
Fire Safety & Emergencies
All hirers (especially those bringing groups) must familiarise themselves with the emergency exit route, the location of fire extinguishers, and the first aid kit immediately upon arrival. In the case of a fire, please call 999. The studio address is 31a Castle Mills, Kendal, Cumbria LA9 4DE.
Individual Practice
Total Responsibility: If hiring the studio for your own practice, you are entirely responsible for your safety and wellbeing, the care of the building, and the equipment. Please leave the studio clean and tidy, and arranged as you found it.
Instructor On-Site: To ensure your safety, an instructor will be present during your hire. If you would like to train solo and have your own personal training insurance, please provide your documents at the time of booking so we can arrange this for you.
Liability Waiver: As this is an independent training session, you acknowledge that you are practicing at your own risk. Soozi Kay Pole | Groove | Yoga is not liable for any accident, injury, medical condition, damage or loss to your person or property, or for any costs arising from your hire.
Skill Level: You confirm you have the necessary experience to use the equipment safely without an instructor. You must have at least 12 hours of pole class time with us, or elsewhere if you are a visiting student. Studio hire is not suitable for beginners with less than 12 hours of class experience, and definitely not an opportunity to teach your friends.
Health Declaration: All solo hirers must have a completed PARQ on file with us. Please request a form when booking. By booking, you confirm you are fit to exercise and have disclosed any medical conditions that could affect your safety while training.
Wellbeing & Preparedness: You are responsible for managing your own first aid and any necessary medication. For your safety, please ensure your mobile phone is fully charged and easily accessible throughout the session in case of an emergency.
Group Hire (regular and one-off bookings)
If you are hiring the studio to teach your own students:
Instructor Responsibility: You are solely responsible for the safety, conduct, and wellbeing of your students.
Insurance & Paperwork: You must provide a valid copy of your Public Liability Insurance (minimum £5m cover recommended) and relevant teaching certifications before your first session.
Personal Accident Cover: While not mandatory, we strongly recommend that freelance instructors hold their own Personal Accident Insurance to protect their income in the event of an injury.
Waivers: You must ensure your students have completed your own health screening and liability waivers.
Social Media & Privacy
If you are hiring the studio for your own business or professional content, please ensure your posts do not imply an official endorsement or partnership with Soozi Kay Pole | Groove | Yoga without prior written agreement.
Security & Studio Care
We take great pride in our space and ask that you treat it with love! The hirer is responsible for the cost of any repairs or replacements needed if the building, fixtures, or equipment are damaged during the booking period. To keep our space safe and sustainable, please also ensure the following before leaving:
Secure the Building: All windows must be closed, and the door must be double-checked and locked securely.
Power Down: Ensure all electrical appliances, lights, heating units, and fans are switched off. DO NOT turn off the parking console.
Equipment & Layout: All equipment (poles, mats, etc.) must be wiped down with cleaner and returned to their original position.
Cleanliness: Ensure all rubbish is removed and the studio is left tidy.
Booking & Sub-Letting
Personal Agreement: Studio hire is for the named booker only. To maintain our safety and insurance standards, bookings may not be sublet, shared, or transferred to a third party without prior written consent from Soozi Kay.
Arrangements: Studio hire is by appointment only. Please get in touch to arrange specific dates, times, and key collection/return.
Viewings: We want you to feel comfortable in the space! You are welcome to arrange a virtual or in-person visit to see the studio and facilities before booking.
Events & One-off Bookings
We love hosting events and one-off workshops. To keep things running smoothly for everyone, these studio hire bookings follow a slightly different process from a regular weekly class:
Securing your date(s): We require a 50% non-refundable deposit at the time of booking to reserve the studio.
Final balance: The remaining balance is due in full one month before your event date.
Last-minute booking: If you book your event within 1 month of the date, we require full payment up-front to confirm the space.
Security deposit: We also require a refundable security deposit of £75.00 to cover any damage to the building or equipment, or any additional professional cleaning required. This will be added to your final balance payment. We will aim to issue a refund via bank transfer within 5 working days of your event, provided the studio is returned in its original condition.
Cancellations: We know the unexpected can happen. However, because it’s hard to fill a large block of time at short notice, the initial deposit is non-refundable. If you need to cancel within 14 days of your event, the full hire fee will unfortunately still apply.
Event insurance: We always recommend taking out event insurance in case life throws you a curveball.
Media, Privacy & Social Media
We love celebrating your journey and cheering you on. To help us do that, we may take photos and videos during class to share on our social media channels.
Your Choice: If you’d prefer not to be filmed or photographed, no worries at all! Just have a quick chat with your instructor, and they’ll make sure you’re not included.
Sharing Your Moments: You are welcome to take and post your own class photos and videos on social media. We just ask that you keep the sound off to respect licensing and class flow.
Safety First: Please ensure that recording equipment does not interfere with the safety of any equipment (e.g. tripods near poles).
Respecting Others: We're a community! Please check with your classmates before posting photos of them, or use a quick blur/emoji to respect their privacy.
Tag Us: Once you’ve checked with your peers, share away! Tag @soozikay or @groovewithsoozi and use #soozikay so we can high-five your achievements!
