The information we collect and how we use it
We use a few trusted third-party platforms to help run our classes and manage bookings securely. Each platform collects data on our behalf for specific reasons.
1. Website Browsing & Analytics (Squarespace)
When you browse our main website, Squarespace collects personal data to power our site analytics and ensure the platform runs securely. This includes:
Information about your browser, network, and device
Web pages you visited before coming to this website
Your IP address and site activity (like clicks, pages viewed, and searches)
We share this information with Squarespace to understand our site traffic. You can read more via the Squarespace Privacy Policy.
2. Fonts
Our website uses font files from Google Fonts and Adobe Fonts to display correctly. To serve these files to you, their servers may receive basic technical details like your browser type, device info, and IP address.
3. Class Bookings & Customer Accounts (Marvelous & Stripe)
When you make a purchase, register for a class, or set up a customer account on booking.soozikay.co.uk, we collect information to fulfil your order and give you access to your account. This includes:
Your name, email address, and phone number
Billing address and purchase details
Payment card details
This data is stored securely with Marvelous, our online booking provider. You can view the Marvelous Privacy Policy for details.
All payments are processed securely by Stripe. We do not store your full card details ourselves. You can view the Stripe Privacy Policy for details.
4. Health & Fitness Forms (Jotform)
Before taking part in our sessions, we ask you to fill out a Physical Activity Readiness Questionnaire (PARQ). This form is handled by Jotform and collects health information.
Why we collect this: We are legally and contractually required to collect this data by our insurance providers to ensure you can exercise safely.
Our legal basis: We process this sensitive health data based on your explicit consent when you fill out the form.
Your completed form is held securely and is never shared with third parties. You can read more via the Jotform Privacy Policy.
5. Website Enquiries
When you send us a message using an enquiry form on our website, we collect the details you type into the form so we can track and reply to your message. This data is handled via Squarespace.
Cookies
Our website uses cookies, which are small text files downloaded to your device.
Functional and Required Cookies: These are always used to allow Squarespace to serve our website to you securely.
Analytics and Performance Cookies: These are only dropped on your device when you click to acknowledge our cookie banner. They help us view site traffic and behaviour.
Emails and Communication
Order and Account Emails
We will send you administrative emails via Marvelous regarding your purchases and account activity (for example, password resets, booking confirmations, or schedule changes). It is not possible to unsubscribe from these essential updates.
Marketing Emails
If you have previously booked a class or workshop with us, we may occasionally email you with updates or offers about similar sessions we think you'll love. We do this under the "soft opt-in" rules. You can opt-out of these marketing updates at any time, either by clicking the unsubscribe link or adjusting your preferences in your booking.soozikay.co.uk account.
Data Protection Complaints & Your Rights
You have the right to ask for a copy of the personal data we hold about you, or to ask us to correct or delete it.
Under the Data (Use and Access) Act 2025, you also have a formal right to lodge a data protection complaint directly with us if you are unhappy with how your information has been handled.
How to file a complaint
If you have a concern, please email us directly at hey@soozikay.co.uk. You do not need to use any formal legal language — just let us know what has happened and how we can help make it right.
Our complaints process and timelines
Once you get in touch, we will follow these legal steps to resolve things for you:
Acknowledgement: We will formally acknowledge your complaint within 30 days of receiving it.
Investigation: We will look into the matter and make appropriate enquiries without undue delay.
Updates: We will keep you fully informed of our progress if the investigation takes a little time.
Outcome: We will write to you with the final outcome of our investigation as soon as it is resolved.
Escalating to the ICO
We always aim to resolve your concerns directly. However, you always retain the right to escalate your complaint to the Information Commissioner’s Office (ICO), the UK’s data protection regulator. You can contact them via their website at www.ico.org.uk.
